Attachment 3: Illinois State University Athletics

Including: Hancock Stadium, Redbird Arena, Horton Fieldhouse, Redbird Track and Field Complex, and Duffy Bass Field.

The client must sign an agreement and complete any other forms or applications required to comply with the agreement.

Reserving Facilities

To schedule or reserve space in the Hancock Stadium, Redbird Arena, Horton Fieldhouse, Redbird Track and Field Complex, or Duffy Bass Field, please complete the facility request form on our website or contact the Special Events Coordinator for ISU Athletics. ISU Athletics reserves the right and priority to schedule spaces for athletic practices, games, and internal athletic events. No other events may be booked or scheduled during times when the Athletic Calendar is not finalized. No reservations will be made for Football or Men's Basketball game days. Reservations are not considered final until a written Facility Agreement is fully executed. Reservations must be requested and finalized 30 days in advance to the date that is being requested.

Services Offered

Athletics offers a variety of spaces that are available for rental to accommodate a range of activities. There are spaces available for rental within Redbird Arena, Hancock Stadium, Horton Fieldhouse, as well as our outdoor fields. Inquires for other athletic facilities outside of these spaces will be reviewed on an individual basis. Athletics spaces are only available for rent if the activity meets the intended use of the space, at the discretion of Athletics. Hancock Stadium

Certain spaces within Hancock Stadium are available for rental. These spaces include the Hancock Stadium Club, Concourse, Suites, Media Level, and Turf Field. Space can be reserved by public groups, registered student organizations, and university departments. ISU Athletics reserves the right to schedule spaces for athletic practices, games, internal athletic events, and academic class sessions on a priority basis and prior to processing or approving any rental requests.

Horton Fieldhouse

Certain spaces within Horton Fieldhouse are available for rental. These spaces include the Indoor Track and Courts, North Gym, and Horton Pool. Space can be reserved by public groups, registered student organizations, and university departments. ISU Athletics reserves the right to schedule spaces for athletic practices, games, internal athletic events and academic class sessions on a priority basis and prior to processing or approving any rental requests.

Redbird Arena

Certain spaces within Redbird Arena are available for rental. These spaces include the Redbird Room, Legends Room, Suites, Concourse, and Arena Floor (Court). Space can be reserved by public groups, registered student organizations, and university departments. ISU Athletics reserves the right to schedule spaces for athletic practices, games, and internal athletic events on a priority basis and prior to processing or approving any rental requests.

Outdoor Fields

Certain outdoor fields are available for rental. These spaces include the Redbird Track and Field Complex and Duffy Bass Field. Space can be reserved by public groups, registered student organizations, and university departments. ISU Athletics reserves the right to schedule spaces for athletic practices, games, and internal athletic events on a priority basis and prior to processing or approving any rental requests. All outdoor fields are "as is" for setup unless otherwise requested. If additional setup or equipment is requested there may be additional rental fees and staffing charges.

Client Type

ISU Athletics has sole discretion to determine client type based on information at the time of booking. The Client is bound by the procedures and rates as outlined by the client type.

Sponsored RSO

Registered Student Organization that is sponsored by an Illinois State University academic department.

Registered Student Organization that is independent of the University and university departments.

Late Night Events/ Holidays

Events ending after 12 am must be reviewed as a Late-Night Event for approval for all athletic facilities. If approval is given, the client must agree to any additional requirements and costs based on an updated and approved risk assessment before the reservation is confirmed. Events generally will not be scheduled during university closures, including holidays and administrative closures.
